The Kopskuif coaching programme consists of four structured sessions, each with a specific tool, a specific purpose, and a specific deliverable. The sessions are delivered online via video call, or face-to-face in Tshwane, as agreed between the parties before session one.
This is not open-ended coaching. The programme has a defined start, a defined end, and a single agreed outcome identified in session one. Both parties commit to that outcome and to the process designed to achieve it.
Pattern mapping across key areas of the client's business and leadership. Identification of the single agreed outcome for the programme. River of Life narrative exercise. Duration: 90 minutes.
Robert Kegan's Immunity to Change (ITC) methodology. Uncovering the hidden competing commitment — the subconscious assumption actively neutralising the client's progress toward the agreed outcome. HeartMath coherence practice introduced. Duration: 90 minutes.
Design of micro-experiments to test the hidden assumption identified in session two. Experiments are small, low-risk, and structured to generate real evidence about the assumption's truth. Duration: 90 minutes.
Review of experiment findings. Future self visualisation: a structured contrast between two five-year futures — with the pattern shifted, and with the pattern carried forward. Forward planning and closure. Duration: 90 minutes.
WhatsApp support is included between all sessions for questions, reflections, and processing that arises between appointments.
The single agreed outcome for this coaching engagement is identified collaboratively in session one and recorded below. It must be specific, observable, and achievable within the four-session frame. This outcome guides every subsequent session and is the reference point for the guarantee in Section 5.
Both parties sign or confirm this outcome statement at the end of session one. It may be refined after session two if the ITC process surfaces material that meaningfully reframes the original statement — but only with the explicit agreement of both parties.
The programme typically runs over six to ten weeks. The following spacing is recommended:
Sessions one and two: one to two weeks apart. The initial mapping and the ITC uncovering work can follow each other relatively quickly.
Sessions two and three: two to three weeks apart. This space allows the HeartMath practice to bed in and gives the client time to notice the hidden assumption activating in real situations before the micro-experiments are designed.
Sessions three and four: two to three weeks apart. The micro-experiments need time to run and generate usable evidence before the final session.
Sessions are scheduled by mutual agreement. If a session needs to be rescheduled, a minimum of 24 hours' notice is required by either party. Sessions cancelled with less than 24 hours' notice without cause may be forfeited at the coach's discretion.
| Item | Amount |
|---|---|
| Four-session coaching programme (complete) | R8,000 |
| Payment in full — due before session one | R8,000 |
| Payment plan option — three equal monthly instalments | R2,850 × 3 |
Payment is due in full before session one commences, unless a payment plan has been agreed in writing. Under the payment plan, the first instalment is due before session one, the second instalment one month after session one, and the third instalment two months after session one.
Payment is accepted by EFT to the banking details provided by Theo on invoicing. Once payment has been received and confirmed, session one is scheduled.
The fee covers all four sessions, WhatsApp support between sessions, and any continued sessions required under the guarantee in Section 5. No additional fees apply.
If you do not achieve the agreed outcome after four sessions, Theo keeps working with you for free — until you do.
"Achieved" is defined by reference to the outcome statement agreed in Section 2. If, at the conclusion of session four, the client has not experienced a clear and demonstrable shift toward the agreed outcome, additional sessions will be provided at no cost until the outcome is reached.
The guarantee applies where the client has engaged fully with the process — attended all four sessions, practised HeartMath as instructed between sessions two and three, and undertaken the micro-experiments designed in session three. The guarantee does not apply where sessions have been missed or the between-session work has not been attempted.
There is no time limit on the guarantee. Theo's commitment is to the outcome, not to a defined number of additional sessions.
After session one, Theo reserves the right to terminate this agreement if, in his professional judgement, one or more of the following conditions apply:
The identified outcome is too psychologically complex or clinically loaded for the four-session coaching frame — requiring therapy, psychiatric support, or a more specialised intervention.
The scope of what has emerged in session one is too large or too deep to be responsibly held within this programme.
Theo determines, in good faith, that he is not the right person to support this client toward the agreed outcome.
If this clause is invoked, the following applies without exception:
Full refund. The client's full payment will be returned within five business days. No deduction is made for session one.
Referral. Theo will make a genuine effort to identify and refer the client to a more appropriate coach, therapist, or practitioner.
No hard feelings. The termination is a professional judgement, not a rejection. Both parties leave the engagement with goodwill and without obligation.
The client does not hold the right to invoke this clause — the programme is a commitment to the full four sessions. If the client chooses to withdraw after session one for personal reasons unrelated to the above, the fee is non-refundable, except at Theo's discretion.
Theo commits to:
Arrive to each session fully prepared, focused, and present.
Hold everything disclosed in sessions and via WhatsApp in strict confidence (see Section 8).
Work solely in the client's best interest — including invoking the Section 6 exit clause if that is the right thing to do.
Respond to WhatsApp messages between sessions within 24 hours on business days.
Continue working without additional charge if the guarantee in Section 5 is triggered.
The client commits to:
Attend all four sessions and arrive on time. Give at least 24 hours' notice if a session needs to be rescheduled.
Engage honestly and openly in each session. The process works in proportion to the honesty brought to it.
Practise the HeartMath breathing technique daily between sessions two and three, as instructed.
Undertake the micro-experiments designed in session three before session four.
Communicate openly if something is not working, rather than disengaging silently.
Everything disclosed by the client within the coaching relationship — in sessions, via WhatsApp, or in any other form of communication — is held in strict confidence by Theo van der Westhuizen. Nothing will be shared with any third party without the explicit written consent of the client.
The only exceptions are those required by South African law — specifically, where there is a credible risk of serious harm to the client or another person. In such cases, Theo will, where possible, inform the client before any disclosure is made.
Theo may use anonymised, non-identifiable insights from the coaching relationship to inform his practice or published work, provided no information could reasonably identify the client.
This agreement is governed by the laws of the Republic of South Africa. Any dispute arising from this agreement will first be addressed through direct, good-faith conversation between the parties.
Coaching is not therapy, counselling, medical advice, or legal advice. Theo is not a registered psychologist or medical practitioner. The coaching relationship does not create a therapeutic or clinical relationship, and does not substitute for professional mental health support.
This document constitutes the full agreement between the parties. No verbal assurances made outside this document are binding unless confirmed in writing.
By signing below, both parties confirm they have read, understood, and agreed to the terms of this coaching contract.
A signed copy of this agreement will be held by both parties. The outcome statement in Section 2 is completed and countersigned at the end of session one and appended to this document.
